COACHING STAFF HANDBOOK
The following is a guide for Rep/Select team coaches and managers in the St.Catharines Ladies Softball League (SCLSL).
The SCLSL is affiliated with the Provincial Women’s Softball Association, Softball Ontario, and Softball Canada. We abide by and comply with the constitution, by-laws and rules of the above bodies except as noted. A copy of these constitutions, by-laws and rules are available through the SCLSL.
What is a Rep Team?
The Rep Team is a group of girls who have voluntarily decided to test their skills beyond the house league level of competition. It is a team that is picked on individual talent, team cohesiveness, sportsmanship, and dedication. The Rep Teams represent our league both at home and away, and must be able to live up our standards of play, conduct, and sportsmanship. It is a team that the league, the coach, the parents and the girls can be proud of both on and off the field. It is not a team of individuals, nor one where self presence, peer pressure, spectator pressure, or coaching pressure makes playing an enjoyable experience, and turns the thought of playing softball from love to distaste for the experience encountered.
What is a Select Team?
A Select Team differs from a Rep Team in the way it is put together. It is selected from the house league teams, while the players still play in the house league. This Select Team takes part in a tournament or two as well as the Provincial level tournament(s). In all other respects a Select Team is the same as a Rep Team, as noted above.
Who should coach a Rep/Select Team?
Rep/Select Coaches must excel in a number of areas. He or she must:
1. Be a certified coach in conjunction with the PWSA criteria for that division;
2. be able to transfer his/her knowledge to the game situation;
3. be able to communicate positively, politely, and sincerely with other coaches, league officials, game officials, players, and parents;
4. be willing to give up an enormous amount of time and energy;
5. be able to deal with the expected and unexpected;
6. Make practices both meaningful and enjoyable;
7. be able to handle finances and bookings properly; and
8. Most importantly, be a good example for the players and a credit to the St.Catharines Ladies Softball League.
What the PWSA Expects of You as a Coach
POLICY FOR CONDUCT AS A COACH: Any coach registered with the Provincial Women’s Softball Association SHALL:
1. Refrain from using any language deemed unsuitable for use on a ball diamond.
2. Refrain from attacking (either verbally or physically) any official, opponent, player, or spectator.
3. Refrain from CAPITALIZING on ANY RULE (e.g. finding a way around it).
4. Refrain from ANY unsportsmanlike behavior (e.g. disparaging or insulting remarks to players, officials, spectators, or committing any act that could be considered unsportsmanlike behavior).
The Provincial Women’s Softball Association will not accept or tolerate any behavior judged to be degrading or unbecoming to the image of the P.W.S.A.
EFFECT: The persons involved COULD be reprimanded by the P.W.S.A. and/or could be denied membership in the P.W.S.A.
The gravity of the act(s) would be considered, all aspects of the problem would be investigated and discussed thoroughly (e.g. personal contact and discussion with all those involved) before any decision would be made.
Conduct of a SCLSL Coaching Staff:
All coaches representing the SCLSL shall display good judgment at all times. The SCLSL will not accept or tolerate any behaviour judged to be degrading or unbecoming to the image of the league. Alcohol in or at the ball park will not be tolerated.
Responsibilities of a Coach
NOTE: The SCLSL will appoint a liaison to the Rep Coaching Staff. All questions must be directed through the liaison other than parks, equipment, and/or financial concerns which would be directed through the appropriate executive member.
It is the responsibility of a coach:
1. to teach, his/her players, skills applicable to the category in which they participate.
2. to be properly certified and up-date his/her skills and level of expertise (e.g. seminars, publications, Softball Ontario clinics, National Certification Program).
3. to give good example to his/her players both on or off the field.
4. to display SPORTSMANSHIP in all cases - both as a winner and as a loser: “TO BE A GOOD WINNER, YOU MUST BE CAPABLE OF BEING A GRACIOUS LOSER”.
5. to display good leadership: “THE SCARCEST THING IN THE WORLD IS NOT RADIUM, NOR GOLD, NOR DIAMONDS - BUT EFFECTIVE LEADERSHIP”.
6. to teach respect of the officials: “THEY MAY NOT ALWAYS BE RIGHT OR TOP QUALITY OFFICIALS - BUT THEY ARE DOING A THANKLESS JOB AND, IN ORDER TO PLAY THE GAME, WE NEED THEM”.
7. to be RESPONSIBLE to have necessary information in case of injury. It is the responsibility of the parent (in the case of minors) to be available with health information.
8. to be RESPONSIBLE for damage to hotels/motels, restaurants, dressing rooms, etc. which is caused by your players or team personnel.
9. to be RESPONSIBLE for the conduct of your players - both on and off the diamond.
10. to be responsible (as much as possible) for the behaviour of your spectators.
11. to protect yourself as far as liability is concerned - by behaviour, common sense, and insurance coverage.
12. to ensure that the proper travel permits are received before traveling out of the province or out of the country.
13. to ensure that insurance deadlines are met for all try-outs

SPECIFIC RESPONSIBILITIES
Financial:
1. Maintain accurate and timely records of all financial transactions. A separate bank account will be opened by the SCLSL Treasurer, with 2 of 4 signatures necessary for signing authority. (2 signatures designated by SCLSL executive, and 2 from team staff)
2. Operate within your budget. A preliminary budget must be handed in to the League Treasurer by March 1st of the playing season.
3. Find your own sponsor(s).
4. P.W.S.A. affiliation fees and league fees will be paid by the SCLSL. Check with your executive liaison about anything you are not sure about purchasing and who will pay, BEFORE YOU BUY IT.
5. The SCLSL will pay all items mentioned in the agreement set down at the beginning of your coaching term.
6. Arrange to meet with your sponsor early in the year. Give him/her a letter requesting a specific donation and go over your budget with him/her. We recommend that you ask for enough money to cover tournament fees, etc. Undershirts, jackets, bags will have to be paid by the fundraising, sponsorship, or team player fees. This is why you must set up a realistic budget very early and stick with it.
7. A minimum of $100.00 must remain in the account at the end of the season.
8. All equipment must be purchased through the equipment convenor, if it is to be paid for by the league. Other items may want to be bought through the league to get a better discount.
Other Responsibilities:
1. A letter must be sent to the league when undertaking any fundraising activity. Please state what the fund-raiser is, where it is to be held, dates, times, and the person in charge with their name, address and phone number.
2. The coaching selection committee must approve all coaching staff. No staff member can be added to a team until written permission is received.
3. Enter tournaments early to be assured of acceptance. Last year’s coach should be able to give you names and phone numbers of contact people; or you should be able to get the same information from the P.W.S.A.
4. Get a list of the SCLSL executive and phone numbers. Your liaison from the executive should be able to direct you in the right direction whenever you have a question.
5. Make hotel/motel arrangements well in advance of tournaments in which your are going to stay overnight. (Ask for a letter of confirmation.)
6. Notify the SCLSL Parks convenor of all home/exhibition games and times. (This information will be given to the City by the Parks Convenor ONLY.)
7. Give a copy of your playing schedule (and tournaments) to the SCLSL Rep Liaison to be distributed to the executive.
8. If you are going to play any games out of the province, you must acquire a travel permit through the P.W.S.A.
9. Book practice times through the Parks convenor at the beginning of the season. You will probably have specific time at the same park each week, if done early enough. Whenever you are not using your time, notify the parks convenor of its availability.
10. A copy of the home games must be given to the person in charge of the Rep League umpires. This person might not be a member of the SCLSL, but the name and number will be supplied by the SCLSL.
11. Submit scores as directed by your league promptly. You are responsible for any fines.
12. Notify the opposition coach/manager, Umpires’ contact, and Parks convenor of any cancellation or changes. Make sure that you have the right to change or cancel the game.
13. Keep all players and parents informed of upcoming events by frequent newsletters.
14. It may be necessary to have one or more coaches certified through the National Coaches Certification Program. Check with your liaison to find out the latest requirements.
15. Submit reports (same day is best) to the St. Catharines Standard. Be sure to mention your sponsor’s name only or they will only print other names e.g. “Cubs”
16. Keep your sponsor informed. Give him your schedule and a team picture (supplied by photographer).
17. A full team consists of 17 players and 4 bench staff. However, you will find a player roster of 12 is more manageable.
18.
At the
end of the season, hand the following into the liaison;
a) A financial report and all financial records (include notes about anything
outstanding);
b) an End of the Year Report is included in this handbook; and
c) an Awards Report as included in this handbook.
19. At the end of the season, hand in all uniforms and equipment to the equipment convenor at the designated time and place.
20. Team uniforms (everything used or worn by the team) cannot be altered without written permission from the league. League colours and league wording must be used on any item(s). Any deviation without permission will result in the team losing all financial support, parks allocations, and any other support from the S.C.L.S.L..
21. Please make sure that all financial records are kept up-to-date, including fund raised dollars. All financial records are to be submitted to the league Treasurer by Sept. 30th of that year, regardless of any outstanding items. Make note of any items not paid or monies not received as yet.
22. A SCLSL expense form must be completed and approved before making any purchases. No payments will be made unless this is done correctly.
23. Each year a list of items for which the SCLSL and the team is responsible. Make sure that you understand this entirely. If there is something that is not listed inquire about it.
24. Players must be fully registered in order to participate in try-outs. Check with the Registrar to make sure players are registered, and therefore are insured when trying out.
25. A photocopy of the P.W.S.A. certificate must be submitted to the Registrar when submitted to P.W.S.A. The Registrar must have final team rosters immediately when known. Keep in touch during try-outs.
ETHICS
These rules of ethics were presented by the P.W.S.A. at the November 1995 Annual Meeting. The SCLSL expects all members to follow the appropriate guidelines enclosed:
PLAYERS:
1. Appear at the diamond for either practice or a game at the time requested by the coach.
2. Comply with rules set by team management, association, etc.
3. Let the coach handle all the team decisions. e.g. If she/he feels an umpire made the wrong call.
4. Remember, this is a team sport.
5. Take instruction willingly from the team staff. Remember, you are trying to improve your skills.
6. Support and encourage your fellow players.
7. Try to never show anger, and remember, most criticisms are meant to be positive.
8. Play FAIRLY - SHOW GOOD SPORTSMANSHIP.
9. Support your team management. e.g. by carrying equipment..
10. Be respectful to ALL.
11. Take victory or defeat without undue emotion, gloating, or show of disappointment.
12. Use your best communication skills.
13. ENJOY THE SPORT!
COACHES:
1. Build self esteem among your players.
2. Provide rules for the team that are fair to all.
3. Show leadership by always taking responsibility for your actions.
4. Learn and follow the rules of the game.
5. Be well prepared so that coaching responsibilities are carried out with competence.
6. Maintain the highest standards of personal conduct and support the principles of fair play.
7. Offer ONLY constructive criticism.
8. Teach your players that officials are an important part of the game. They and their decisions should be respected at all times.
9. Encourage players to be modest: in victory” and good sports in “defeat”.
10. Teach the players to enjoy the game.
11. Remind the players that a medal or trophy is not the only measure of success.
12. Communicate well with your players.
13. Be aware of sport and drug policies.
14. Coaches should also comply with the “Coaching Code of Ethics” as set down by the Canadian Association of National Coaches. A copy of this document should be read and made part of your personal conduct code.
MANAGERS:
1. Know the medical condition of all players.
2. Be supportive of coaching staff.
3. When booking rooms for players, take into consideration individual personalities.
4. Try to avoid situations that will make players uncomfortable.
5. Be supportive of any special needs of players.
6. Effectively communicate with coaches and players.
7. Maintain the highest standards of personal conduct and support the principles of fair play.
8. Show respect to game officials.
9. Encourage all to do their personal best.
10. Teach players to enjoy the game.
11. Know the rules.
12. Know the proper attire required.
13. Be aware of sport and drug policies.
14. Ensure that the team first aid kit is stocked properly.
15. Ensure that players are properly equipped and dressed.
16. Ensure that equipment (bases, plates, bats, etc.) is legal and safe.
Other Team Personnel:
1. be supportive of team management.
2. Encourage players.
3. Show exemplary conduct.
4. Be willing to assist whenever requested to do so.
5. Encourage fair play.
6. Encourage a positive attitude.
7. Encourage respect and courtesy being shown to the game officials.
8. Communicate well with others.
9. Think positively.
10. Enjoy the game.
Fans:
1. be supportive of team personnel.
2. Encourage and support players.
3. Support game officials.
4. Never lose your temper or shout obscenities.
5. Never embarrass a player or team personnel.
6. Always conduct yourself in a manner that is exhibiting fair play.
7. Never second guess coaching staff - they are responsible for their own actions.
8. Applaud good plays, no matter which team made them.
9. Be considerate of the fans around you.
10. Remember harassment is not accepted in the constitution of our country and should not be tolerated in the parks.
11. Enjoy this wonderful game.
Discipline Committee Procedures
Appeals Committee Procedures
1. The Appeals Committee will convene when a written request for an appeal, including the reason(s) for the appeal, is filed with the President/Designate of the S.C.L.S.L. A request for an appeal can only be filed by the person (if a minor then parent/guardian) who was assessed the Discipline Committee decision.
1. It is the responsibility of the person requesting the appeal to compile letters and other information, which substantiates the reason for the appeal. It is the responsibility of the S.C.L.S.L. President/Designate to notify any other interested parties of the appeal, so that they can provide further information if they deem necessary. The Discipline Committee’s ruling will stand while awaiting an Appeals Committee decision.
2. The Appeals Committee shall be appointed by the S.C.L.S.L. President/Designate and comprised of five (5) persons. These persons may be from the S.C.L.S.L. Executive or from other non-involved members of the association, who have no pre-set attitude or apparent interest in the result of the complaint. The members of the original Discipline Committee cannot be members of the Appeals Committee, but do have the right to speak at the hearing if they so wish.
3. The Appeals Committee will convene within two (2) weeks of receipt of the appeal and appoint a Chairperson from the five members. The S.C.L.S.L. President/Designate will act as Secretary for the committee and make available any letters, etc. the committee deems necessary.
4. The Appeals Committee shall conduct research, hearings and render a decision on whether the appealed question needs to be reviewed. If the decision of the Appeal Committee is such that a greater or lesser action is warranted, so be it.
5. The members shall hold discussion, information, and findings expressed during the course of an Appeals Committee in the strictest confidence. Specific findings will be made available to the Executive, Appellants, and the Respondents in the form of written directives.
6. The decision of the Appeals Committee will be delivered in written form only by the S.C.L.S.L. President/Designate or by courier or registered mail as time permits.
7. Minutes and any correspondence of this committee will be confidential to the committee members and the S.C.L.S.L. President/Designate and Secretary.
Approved Apparel:
The colours of blue/green/white will be the colours of the official apparel.
Any changes to the styles, etc. MUST be changed by Executive approval ONLY:
Uniforms will be provided by the league as follows:
· Shorts
· Team uniform shirt – home & away
· caps/visors
· coaches shirts – home & away
Any other item is to be provided through fundraising, sponsorship, or direct payment by the players. ALL CLOTHING, BAGS, ETC. MUST FOLLOW THE SCLSL CRITERIA AND BE APPROVED BY THE SCLSL EXECUTIVE.
NO DEVIATION FROM THE ABOVE POLICY
ON APPAREL WILL BE TOLERATED!
Any deviation without permission will result in the team losing all financial support, parks allocations, and any other support from the S.C.L.S.L.
PARKS:
The policy for rain-outs or cancellations is as follows:
**** Coaches must instruct players not to call, but to show up unless called to do otherwise.
A. Rain during the day or for a couple of days previous: (before 5:30 p.m.)
· Parks phone-in line will be up-dated as conditions change – only 1 person per team should be calling the line
B. After 5:30 p.m. – the umpire will determine the playability of the game. You cannot require the Parks attendant to do something extra to prepare the field, accept what they tell you. Do not assume anything! If you have to make a decision, the park attendant and Parks Convenor both have to know what was done so that we can avoid extra charges.
*** VERY IMPORTANT THAT EVERYONE’S LINES ARE KEPT CLEAR!!
A cancellation fee of $300.00 will be charged if the Parks Convenor is not notified so that he/she cannot give the mandatory 24 hours notice to Parks and Recreation for cancellation of a park. The league will not be responsible to pay these fines.

NOTE: Large quantities of money spent on team parties and gifts/awards, even if from fund raising, will be looked upon as unnecessary and in future, SCLSL may lower what it provides the team.

All coaches representing the St. Catharines Ladies Softball League will display good judgment at all times. The St. Catharines Ladies Softball League will not accept or tolerate any behavior judged to be degrading or unbecoming to the image of the League.
A. All coaching staff shall refrain from using any language deemed unsuitable for use on a ball diamond.
B. All coaching staff shall refrain from attacking (either verbally or physically) any official, opponent, player or spectator.
C. All coaching staff will refrain from drinking alcoholic beverages at a ball park.
D. All necessary accounting processes will be completed in full at the end of September.
E. All uniforms, jackets, and hats will be of our League colour and design and will be ordered through the equipment manager for the current year.
F. All equipment must be returned to the league at the end of September.
If I, violate any of the above requirements, I will be removed immediately from this position by the Executive of the St. Catharines Ladies Softball League.
